The problem

A serviced-office business sells the same few things — desks, offices, meeting hours — hundreds of times a month, across branches in different cities. Every contract, renewal, invoice, deposit and booking multiplies with growth, and off-the-shelf tools don't know what an office, a shared desk or a billable meeting hour even is.

And it isn't only lettings. The same company is a billing operation, a finance department that owes its partners a share of the profit, and a facilities operator with cash moving through six front desks — usually scattered across accounting software, spreadsheets and chat apps that never quite agree.

Business Avenue needed the whole operation — not just the accounting — in one system: who occupies what, on which contract, paid or not, recognised as revenue or not, in every branch, at a glance.

What we built

A management platform shaped around how a serviced office actually runs — a live dashboard per branch, a company-wide view above them, and, underneath, a real finance system rather than a spreadsheet bolted onto a rent tracker.

It runs the operation end to end: the space and who occupies it, the contract that put them there, the money that contract owes, and the books that money lands in — one definition of revenue for the whole company, in Arabic and English.

  • Office inventory — private, shared and virtual — with live occupancy per branch
  • Proposals that become contracts: templated bilingual PDF agreements with QR verification, generated, renewed, extended and terminated from the system
  • Billing: invoices, deposits — with refunds and forfeits — expenses and per-branch payment oversight
  • QI card payments — hosted 3-D Secure checkout confirmed by signed webhook
  • Cash-basis accounting on a single revenue engine: each invoice is split across the months it covers and recognised only once the cash is in and the month has arrived
  • Daily per-branch cash reconciliation — income taken in against petty cash paid out, against what was physically counted
  • Partner profit distributions: advances approved from both sides, posted through the books and audit-logged
  • Meeting rooms: calendar bookings and recurring series, priced per booking with discounts and prepaid credit, billed automatically
  • A client portal — tenants view contracts and invoices, book rooms and raise support tickets themselves
  • Inventory, announcements, point-in-time branch snapshots and a full audit trail of every action, with roles scoped per branch

The outcome

Six branches across four provinces run on the platform today. Management sees occupancy and revenue live, without calling anyone; the books close on one definition of revenue; cash is reconciled at each branch every evening; and partners are paid through the same ledger the rent flows into.

Contracts carry QR codes a client can verify, meeting rooms bill themselves, and tenants serve themselves through the portal instead of the front desk.

The engagement didn't stop at software — when meeting-room access needed hardware at the door, we designed and built the device too.
